Overview

Beach Better ("we," "our," or "us") is a family-owned golf cart rental, repair, tire service, and sales business in Miramar Beach, Florida. This policy explains what personal information we collect when you use our website (alwaysbeachbetter.com), our rental booking platform (rent.alwaysbeachbetter.com), our service appointment system, or interact with us in person — and how we use, share, and protect that information.

Short version: We collect only what we need to provide rentals, service, and sales. We don't sell your information. We share it only with service providers who help us operate (payment processors, scheduling tools, analytics) or when required by law. You can access, correct, or delete your information at any time by emailing Service@alwaysbeachbetter.com.

What We Collect

Information You Give Us Directly

  • Contact information: Name, email, phone, and mailing or delivery address when you book a rental, schedule service, request a quote, or contact us.
  • Rental and service details: Rental dates, delivery location, vehicle preferences, service requests, photos you send us about a repair issue, and notes about a particular cart.
  • Payment information: Credit card and billing information needed to process rentals, service, and sales transactions. Card data is handled by PCI-compliant third-party payment processors (Square, Stripe, Booqable's payment system) and is not stored on Beach Better's own servers.
  • Identification: Florida driver's license verification at the time of rental delivery, as required by Florida law for street-legal Low Speed Vehicle (LSV) operation. We confirm validity but do not retain copies of license documents.
  • Communications: The content of texts, emails, and voicemails you send us, plus any notes our team makes when assisting you.

Information We Collect Automatically

  • Website usage data: Pages visited, time on site, click paths, referring website, browser type, operating system, and device type.
  • IP address and approximate location: Used for fraud prevention, analytics, and to determine general regional context.

How We Use It

  • Service delivery: Process rentals, schedule service, deliver and pick up carts, complete sales transactions.
  • Customer support: Respond to your questions, troubleshoot issues, provide post-sale or post-rental support.
  • Communication: Send booking confirmations, service reminders, delivery updates, photo-documented service reports, digital invoices, and occasional updates about Beach Better. You can opt out of marketing at any time.
  • Business operations: Maintain accurate records, prevent fraud, enforce our terms of service, comply with tax and legal obligations.
  • Improvement: Analyze how our website is used and gather feedback to improve our services and online experience.

We do not sell your personal information to third parties. Period.

When We Share It

We share information only when needed to operate our business or when required by law.

We use trusted third-party services to run our operations:

  • Booqable — rental booking platform (rent.alwaysbeachbetter.com)
  • Square — service appointment scheduling and in-person payment processing
  • Stripe — online payment processing for rentals
  • Twilio — text message delivery and confirmations
  • Google Workspace — email hosting and document storage
  • Adobe Sign — digital rental agreements and signed forms

Each provider is contractually obligated to use your information only to provide services to Beach Better — not for their own marketing, and not for resale.

Legal Requirements

We may disclose information when required by law: subpoenas, court orders, or government requests; investigation of fraud or unauthorized use; protection of safety of customers, employees, or property; defense against legal claims.

Business Changes

If Beach Better is acquired, merged, or undergoes substantial reorganization, customer information may be transferred as part of that transaction. You will be notified of any such change before your information is transferred.

Cookies & Analytics

Our website uses cookies and similar technologies to keep the site working, remember your preferences, and understand how visitors use the site.

  • Essential cookies: Required for the site to function (session management, security, basic functionality).
  • Analytics cookies: Squarespace's built-in analytics and Google Analytics, used to measure traffic and improve content. These collect anonymous usage data.

To exercise any of these rights, email Service@alwaysbeachbetter.com with "Privacy Request" in the subject line. We verify identity (usually by confirming details only the account holder would know) and respond within the timeframes required by applicable law.

Florida Digital Bill Of Rights

Florida residents have specific privacy rights under the Florida Digital Bill of Rights (effective July 1, 2024) and the Florida Information Protection Act. These rights generally apply to large data controllers; Beach Better is a small business and is not always subject to every provision. Even so, we voluntarily extend the rights described in Your Rights to all Florida residents regardless of size threshold.

Florida residents can email Service@alwaysbeachbetter.com to exercise a right or file a complaint. The Florida Department of Legal Affairs (Office of the Attorney General) also accepts privacy complaints.

California & Other State Privacy Rights

California residents have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA). Residents of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws have similar rights under their respective state laws.

Beach Better extends the rights described in Your Rights to residents of these states without distinction.

No system is completely immune to security incidents. While we work hard to protect your information, we cannot guarantee absolute security. If a breach affecting your personal information ever occurs, we will notify affected individuals as required by applicable law.

How Long We Keep It

We retain personal information only as long as needed to provide services and meet legal obligations:

  • Rental and service records: up to 7 years to support tax compliance, warranty claims, and dispute resolution
  • Sales records: for the life of the vehicle plus applicable warranty and tax periods
  • Marketing contacts: until you unsubscribe
  • Website analytics: aggregated and anonymized within standard retention windows of our analytics providers

Children's Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 in violation of the Children's Online Privacy Protection Act (COPPA). Florida law requires the driver of a street-legal LSV to hold a valid Florida driver's license, so renters and operators must be at least 16 years old. If you believe we have collected information from a child under 13, contact Service@alwaysbeachbetter.com and we will delete it promptly.

Changes To This Policy

We may update this privacy policy as our practices evolve or as required by law. The "Last Updated" date at the top indicates when the policy was last revised. Material changes will be communicated through our website and, where appropriate, by email to active customers. We encourage you to review this policy periodically.
